Primary Function
The Parish Receptionist works under the direction of the Director of Pastoral Care, as the public-facing representative of our Parish. As such, the Parish Receptionist embodies our Parish Mission and the Catholic Church as a whole. The Receptionist is the primary and initial contact with most parishioners, prospective members, and visitors as they interact with the parish administration via phone calls, e-mails, or visits to the office. The Parish Receptionist also works in collaboration with the entire St. Rita Team (including all departments within the Parish Office and St. Rita Catholic School).
Reception Area
• Serve as the point of contact for Parishioners, prospective parishioners and guests. Includes greeting visitors and ensuring
they are provided with the appropriate guidance or direction.
• Answer phone for the main Parish phone number and redirect calls as appropriate.
• Use parish software and equipment to check in visitors and volunteers coming to the campus.
• Accept mail and deliveries.
• Maintain the Mass Intention process. Includes maintaining all required web-based calendars related to Mass Intentions.
• Schedule appointments for specific members of the Parish Leadership Team, including clergy.
• Distribute checks as directed by the Parish Business Office.
• Maintain organization and appearance of main lobby area.
Pastoral Care
• Assist with Pastoral Care scheduling for Funerals, Weddings, Quinceañeras and other events.
• Perform initial intake for requests for funerals, pastoral care, referrals, and other Pastoral Care Department inquiries.
• Assist with scheduling meetings with parishioners, requests for Pastoral Care visits and requests for referrals.
• Maintain web-based database for Weddings, Funerals, and Quinceañeras.
• Maintain Pastoral Care Resource Guide, updating regularly as necessary.
• Draft Pastoral Care related documents using Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Adobe Acrobat.
• Maintain Pastoral Care templates, forms, guides, and other materials to ensure use of the most recent versions.
• Maintain and update other online materials, as directed.
• Learn departmental processes and procedures and contribute to the continual improvement of same.
• Other administrative duties as assigned.
Essential Skills
• Strong technical ability with Microsoft products (especially Word, Excel, PowerPoint, Outlook, File Explorer, and One Drive.)
• Extensive experience with Adobe Acrobat, Google Chrome web browser, internet searches, network file navigation and an aptitude to learn new web-based software products.
• Working knowledge of Catholic Social Teaching and the Catholic Liturgy and the willingness to obtain a deeper level of knowledge
in both areas necessary to properly support the various departments within the Parish Office.
• Ability to work within organized framework, but able to adapt to ever-changing circumstances to achieve desired outcomes.
• Extensive problem-solving skills with excellent follow-up.
• Ability and willingness to work with those experiencing pastoral care needs while demonstrating empathy and concern.
• Ability and willingness to maintain a consistent schedule, including occasionally working after posted office hours or on weekends, when necessary.
• Possess superior levels of dependability, timeliness, and attendance.
• Possess a strong sense of urgency and ability to properly prioritize tasks to meet organizational goals.
• Ability to work both independently and as part of a team, using good judgement and initiative.
