Hours: Monday to Friday – 9:00am to 2:00pm – Education:  Bachelor’s degree, plus 3+ yrs. experience

Bilingual Required: (English/Spanish) – Special Requirement: Practicing Catholic

General Summary of the Position
Sacred Heart Catholic Church is looking for a bilingual Secretary as a support for the Parish Office to assist in welcoming and greeting as visitors and parishioners come to the building.

The ideal candidate is self-motivated, has a love for Christ, can multitask, is able to address urgent needs in the present, organized. The Secretary must have a deep understanding and commitment to hospitality.

• Ability to easily interact and relate with a wide assortment of personality types.
• Must understand the concept of hospitality and being welcoming to all.
• Must maintain a positive, upbeat, self-starting, solutions-centered, can-do attitude.
• Skilled at being highly organized and detailed orientated.
• Ability to listen carefully and take direction well.
• Ability to manage time and prioritize accordingly.
• Must have excellent written and oral communications skills.
• Advanced MS Office experience, including Outlook, Word, PowerPoint, Excel; PDS experience beneficial.
• Must support the vision and strategic direction of the Pastor.

Essential Duties and Responsibilities of the Position

o   Greeting visitors and parishioners with professional composure

o   Answers phone calls

o   Assists parishioners with Parish Registration Forms

o   Receives Mass Intentions Donations and record information in the Mass Intention Book

o   Responds to inquiries from parishioners about Baptism, and Quinceañeras requirements.

o   Keeps a log of inquiries to be answered, receive payments to be made with Credit Card, check and cash.

o   Maintains the parish calendar, scheduling meetings and appointments.

o   Maintain accurate records of parishioner’s data, sacramental records.

o   Drafting, typing, and distributing letters, emails and other documents.

o   Organizing and maintaining files.

o   Managing sensitive and confidential information in accordance with Diocesan policies and regulations.

o   Performing other duties as assigned by the Pastor or Business Manager.
