GENERAL SUMMARY OF THE POSITION

The Development Associate assists the Director of Advancement with fundraising, stewardship,
communications, event planning, and operational matters. This individual demonstrates a strong
commitment to advance the mission of the Seminary.

The Development Associate is highly organized, strategic, innovative, proactive, and pays
excellent attention to detail. Above all, the Development Associate is donor-focused and
proficient in relationship-building. This role interacts daily with donors, prospective donors,
executive leadership, volunteers, and staff, and a strong ability to communicate effectively with
all is essential.

The Development Associate is responsible for gift processing, prospect research, social media
coordination, event coordination, database management, and general advancement duties.
Occasionally, the Development Associate may be requested to support the Director of
Operations with light bookkeeping support duties including but not limited to QuickBooks data
entry as well as processing of payables, deposits, ordering, and invoicing processes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

 Gift Processing: Process all gifts, pledges and pledge payments in Raiser’s Edge NXT
database; prepare gift acknowledgments; and generate pledge reminders in a timely
manner. Prepare financial and analytical reports as needed.

 Prospect Research: Prepare profiles for prospective donors utilizing online resources as
well as wealth screening tools in databases.

 Social Media Coordination: Prepare content for social media posts on seminarian life and
seminary events open to the public. Prepare content for community-wide fundraising
efforts. Prepare content for monthly e-blasts. Gather, curate, and organize photos for all
communication efforts.

 Event Coordination: Assist with the planning and execution of the annual Spes Gregis
Benefit, including preparing invitation mailing list; assisting with all event-related
receptions; following up with all table sponsors and assisting with table assignments;
gathering and editing content for the printed program; and coordinating volunteers for
and assisting with the set up and take-down of the event. Assist with other donor and
alumni cultivation events throughout the year.

 Database Management: Enter constituent records in Raiser’s Edge NXT database for
donors, prospective donors, volunteers, seminarians, and staff. Maintain accurate and upto-
date contact and demographic information for each. Prepare demographic and
statistical reports as needed.

 General Advancement Duties: Assist with outreach to various development-related
committees, including the Development Committee of the Governing Board, the Capital
Campaign Committee, the Alumni Association, and the Advancement Team. Schedule
meetings, prepare materials for meetings, attend meetings, take notes, and distribute
minutes of meetings. Maintain a calendar for the Advancement Office and assist with
adherence to the department’s schedule.

 Other duties as assigned.

POSITION REQUIREMENTS
KNOWLEDGE AND SKILLS
 Able to handle sensitive information with discretion and maintain confidentiality.
 Able to manage multiple priorities and maintain attention to detail in a fast-paced
environment.
 Able to problem-solve effectively.
 Able to cultivate relationships with donors, volunteers, and other key stakeholders.
 A proactive, hands-on attitude and a willingness to roll up sleeves when necessary.
 Growth-oriented with a strong desire to learn and continuously improve.
 Demonstrates sound judgment and decision-making, especially in high-pressure
situations.

EDUCATION AND EXPERIENCE
 Bachelor’s degree.
 Minimum of three (3) years of experience in a non-profit role.
 Proficiency in Microsoft 365.
 Proficiency in Blackbaud Raiser’s Edge NXT is preferred.
 Familiar with QuickBooks accounting software.
 Understanding of basic booking processes.

 

SPECIAL REQUIREMENTS
 Must be available to work 40 hours per week, including occasional evenings or weekends
based on event or operational needs.
 Active Roman Catholic in good standing, with a solid understanding of and alignment
with the mission and values of the Catholic Church.
