GENERAL DESCRIPTION
The St. Ann Coordinator of Special Needs is a compassionate, organized, and faith-filled individual who uses his or her gifts to support youth and families with disabilities in growing closer to Christ and participating fully in parish life. The ideal candidate is passionate about adaptive faith formation, building relationships with families, and fostering a welcoming, inclusive environment rooted in the joy of the Gospel.

This position focuses on relational ministry, sacramental preparation, and coordination of key programs within a 15-hour weekly schedule.

QUALIFICATIONS

  • Dynamic, practicing Catholic living out their faith.
  • Experience working with individuals with special needs (childhood through young adult).
  • Excellent interpersonal and communication skills for working with families, volunteers, and parish staff.
  • Strong organizational and follow-through skills.
  • Ability to handle sensitive situations with discretion and compassion.
  • Basic computer and technology skills for communication and scheduling.
  • Reliable, collaborative, and mission-driven.

JOB DESCRIPTION
1. Adaptive Faith Formation & Sacramental Preparation (approx. 4 hrs/week)

  • Support youth with disabilities in preparing for and celebrating the sacraments through individualized catechesis and adaptive resources.
  • Collaborate with catechists, parents, and the Director of Youth Ministry to ensure full participation in parish sacramental life.
  • Maintain basic participant records and ensure safety and inclusion policies are followed.

2. Family and Parent Connection (approx. 2 hrs/week)

  • Communicate regularly with families through email updates, phone calls, or short meetings.
  • Host parent or caregiver gatherings quarterly (rather than monthly) for support and fellowship.
  • Provide families with faith-based resources and information about parish and community supports.

3. Volunteer Coordination (approx. 2 hrs/week)

  • Recruit and guide a small team of volunteers to assist with adapted small groups and events.
  • Provide one annual volunteer orientation and brief ongoing support.
  • Ensure volunteers follow parish safety and inclusion protocols.

4. Night to Shine Event Leadership (approx. 3 hrs/week, averaged annually)

  •  Plan and execute “Night to Shine”, an annual prom for individuals with disabilities, in partnership with the Tim Tebow Foundation and co-host churches.
  • Coordinate volunteers and logistics in collaboration with parish staff and community partners.
  • Serve as the primary parish contact for this event.

5. Collaboration & Administration (approx. 4 hrs/week)

  • Communicate regularly with the Director of Youth Ministry regarding needs, plans, and progress.
  • Attend staff meetings and collaborate with Children’s Ministry and Youth Ministry teams as time allows.
  • Maintain accurate schedules, supply needs, and ministry documentation.
  • Follow all parish policies and complete annual and quarterly evaluations.
  • Participate in parish worship and communal life to remain connected to the St. Ann community.

OFFICE EXPECTATIONS

  • Maintain office hours as agreed upon with the Director of Youth Ministry.
  • Attend regular parish staff meetings (as schedule allows).
  • Communicate clearly and promptly with staff and families.
  • Participate in parish safety and ministry training as required by diocesan policy.

PROFESSIONAL DEVELOPMENT
Pursue brief diocesan, online, or local opportunities for continuing education in adaptive faith formation, inclusion, and disability ministry (within time allowance).

SCHEDULE

  • Primary ministry times are Wednesdays and Sundays, with flexible office hours for preparation and communication during the week.
  • This is a 15-hour-per-week position focused on consistency, relationship, and inclusion.

OTHER RELATED TASKS
Perform additional duties as requested by the Director of Youth Ministry or Pastor that align with the mission of St. Ann Catholic Parish and fit within the 15-hour scope of the position.
