Position Title: Parish/School Business Operations Manager

Reports to: Pastor

FLSA Status: Exempt
Hours: Full-time (some evening or weekend availability as needed)

Position Summary

The Parish/School Business Operations Manager is responsible for overseeing the administrative, financial, and operational functions of the parish and its affiliated school. Working in collaboration with the Pastor, Principal, staff, and parish committees, this role ensures that all business practices support the mission of the Catholic Church and strengthen the vitality of parish and school life. The manager maintains stewardship of parish resources, fosters transparent financial practices, ensures regulatory and diocesan compliance, and supports a welcoming, safe, and well-functioning environment.

Key Responsibilities

1. Financial Management

Develop, manage, and monitor parish and school annual budgets in collaboration with the Pastor and Principal.
Oversee accounts payable, accounts receivable, payroll processes, and general ledger.
Prepare monthly, quarterly, and annual financial reports for the Pastor, Finance Council, Principal, and Diocese.
Ensure compliance with diocesan financial policies, internal controls, and reporting standards.
Manage parish and school banking relationships, cash flow, and investment activity as applicable.
Prepare and coordinate annual audits or financial reviews as required by Diocese.
2. Human Resources & Personnel Administration

Oversee HR processes for staff, including recruitment support, onboarding, background checks, benefits coordination, and employee records.
Ensure compliance with diocesan Safe Environment requirements.
Assist Pastor and Principal with employee relations, performance review processes, and job description updates.
Manage workers’ compensation and unemployment claims.
3. Facilities & Operations Management

Oversee maintenance, repair, and security of parish and school buildings, grounds, and equipment.
Supervise custodial and maintenance staff or external contractors.
Maintain a schedule of preventive maintenance and capital improvements.
Coordinate property inspections, safety protocols, and emergency preparedness plans.
Manage parish vehicle(s) and equipment inventory where applicable.
4. Technology & Data Systems

Oversee office technology including computers, networks, phones, and software systems (finance, attendance, giving platforms, etc.).
Ensure data privacy and cybersecurity best practices.
Coordinate maintenance and upgrades with IT support providers.
5. Development, Stewardship, and Advancement Support

Assist with stewardship initiatives, budgeting for fundraising, and maintaining accurate donor records.
Support parish and school development efforts including offertory programs, Annual Appeal, grants, or capital campaigns (in collaboration with Pastor/Principal and advancement staff).
Provide financial analysis for planning and evaluation of parish and school ministries.
6. Office Administration & Communication

Supervise administrative staff and ensure efficient front-office operations.
Maintain parish and school records in accordance with diocesan guidelines.
Support communication processes (bulletin, website, correspondence) as needed.
Ensure smooth coordination between parish and school offices.
Develop and foster great relationship, communication and collaboration between parish office and school
7. Pastoral Mission Support

Work collaboratively with clergy, staff, and volunteers to foster a mission-driven parish and school environment.
Uphold Catholic values in all decision-making and operations.
Serve as a resource to ministry leaders regarding budget planning, facilities use, and administrative procedures.
Qualifications

Education & Experience

Bachelor’s degree in Business Administration, Accounting, Finance, or related field desired
3–5 years of relevant experience in business operations, finance, HR, or nonprofit administration; school or parish experience strongly preferred.
Experience supervising employees and managing budgets required.
Knowledge, Skills, and Abilities

Understanding of Catholic parish/school mission and willingness to support the teachings of the Catholic Church.
Strong financial management skills and knowledge of accounting principles.
Ability to interpret and apply Diocesan policies.
Excellent communication, organizational, and leadership skills.
Proficiency with accounting and administrative software (e.g., QuickBooks, parish/school management systems).
Ability to maintain confidentiality and handle sensitive information with discretion.

Working Conditions

Office environment located at the parish.
40+ hours per week. Some evenings or weekends meetings are required.
Occasional physical activity related to facility inspections or events.
