Essential Duties & Responsibilities of the Position:
General Operations Management:
• Attend diocesan administration meetings representing the school and the principal. Distribute
and disseminate information obtained at these meetings to all school personnel, when necessary.
• Consult with and advise principal on business and administrative matters that affect the school
• Maintain familiarity with all applicable policies and procedures.
Finance and Accounting:
• Maintain accuracy of all financial files and records, and establish a responsible cash flow
management system
• Prepare, administer, and review budget process in collaboration with SAC finance committee and
the Principal.
• Act as liaison between the school and the diocese in financial matters
• Maximize cash management resources
• Coordinate and review school-based organizations’ funds
• Maintain accurate accounting following generally accepted accounting principles
• Ensure financial accountability and stewardship policies and procedures are implemented and
maintained.
• Collect all invoices and prepare them for Principal’s signature
• Input all approved invoices into accounting software system
• Print checks and prepare for pastor’s signature
• Prepare checks for mailing to vendors
• Input information related to tuition and incidental charges into tuition management system
• Month end closings with proper journal entries
• Coordinate AUP/audit yearly
• Prepare tuition delinquency reports for Principal
• Coordinate with Parish Business Manager and Admissions Director regarding lists of families who
are contributing members of the parish
Human Resources:
• Act as the Human Resources representative for school faculty and staff
• Assist Principal with Annual Faculty Contracts
• Administer salaries and benefits programs
• In collaboration with the pastor / principal, establish and implement personnel policies
• Enter new hire information into HR system
• Assist employees who have difficulty entering information into HR system.
• Establish and conduct employee training for all staff
• Process new hire / termination paperwork
• Act as liaison with Diocesan HR personnel on HR related issues (i.e. employee leave,
terminations)
Other Duties:
• Functions as a resource and supporting team member for all School activities and events
• Additional duties as assigned by Principal

Position Requirements:
• Thorough knowledge of accounting principles and practices
• Solid business operational experience
• Excellent interpersonal communication skills
• Supervisory and leadership experience
• Proven organizational skills including the ability to manage multiple tasks and projects
simultaneously, meet deadlines and produce high quality results quickly
• Excellent computer skills: MS Office suite of products; internet applications; Quickbooks
Accounting Software; FACTS Management System
• Good record-keeping skills
• Good facilitation skills
• Collaborative style that fosters workplace excellence and mutual staff support
• Highly motivated; able to work independently and as part of a team and with energy, optimism
and persistence
• Ability to present oneself professionally
• Ability to maintain confidentiality
• Ability to prioritize and to be flexible
• Able to work occasional evenings and/or weekends and work an unpredictable schedule when
necessary
Education and Experience:
• Bachelor’s Degree desired in Business or a closely related field
• 5 – 10 years of business experience, non-profit experience preferred.
Special Requirements:
Catholic in good standing or with thorough knowledge and understanding of Catholic teachings
Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk or hear; walk; stand;
and sit. The employee is frequently required to use hands for fine manipulation, handle or feel and
reach with hands and arms. The employee is occasionally required to stoop, kneel, crouch or
crawl. The employee must regularly lift and/ or move up to 25 pounds. The employee may occasionally
climb stairs or ladders. Specific vision abilities required by this job include close vision, distance vision,
ability to adjust focus and peripheral vision.
